Executive Coordinator

The Canada-Ukraine Foundation (CUF) is seeking a talented and motivated individual for a maternity backfill of our Executive Coordinator.

CUF was formed to coordinate, develop, organize and deliver assistance projects generated by Canadians and directed to Ukraine. Established as a national charitable foundation that would coordinate with Canadian organizations that have projects in Ukraine, as well as other projects in Canada, CUF has delivered and supported projects and programs including, but not limited to, the areas of healthcare, education and civil society.

CUF is looking for someone with energy, enthusiasm, and experience for a temporary maternity backfill for a one year term. The Executive Coordinator position is based in Toronto and reports to the CUF Executive Committee, specifically CUF’s Chief Operating Officer, and works closely with the Executive in the areas of fundraising, office administration, and stakeholder management.

Areas of responsibility:

Support CUF’s Executive Committee and the internal and programming committees by:

  • Optimizing communications with major donors, partner organizations and other stakeholders
  • Overseeing bookkeeping, supporting financial reporting including annual report
  • Attending CUF Ex Comm (monthly) and Board (quarterly) meetings, AGM and other meetings as necessary; supporting creation and archiving of agendas, minutes and documents related to the meetings
  • Creating, coordinating, and archiving agreements with stakeholders and ensuring insurance, leases and other contracts are current and relevant
  • Creating key performance indicators and other metrics for tracking delivery, timeliness, success, and outcomes (ROI) of programs, projects and relevant workstreams
  • Providing relevant updates to Executive Committee, Board, and key stakeholders on a regular basis

Qualifications:

  • Post-secondary degree
  • Clear and concise oral and written skills (in both English and Ukrainian)
  • Demonstrated skills and experience with digital technology including virtual meeting platforms, website and social media capabilities, virtual document management
  • Proven self-starter with the ability to work independently and collaboratively, possess excellent organizational and interpersonal skills, and adapt to fast-paced and shifting demands
  • Experience working with a Canadian NGO in an administrative capacity
  • Experience working in environments with multiple internal and external stakeholders and capacity to prioritize assignments and responsibilities accordingly
  • Ability to creatively problem-solve and flexibility to challenge the status quo and look for outside the box ideas and novel ways of working
  • Prior board/committee experience is an asset
  • Financial acumen, strategic planning, analytics and reporting skills are assets

HR specialist

Canada-Ukraine Foundation is looking for an HR specialist to coordinate personnel management. The HR specialist will take ownership of all HR matters across the Foundation from recruitment to performance reviews, wage reviews, disciplinary action, and learning and development. To perform well in this role you should have experience as an HR manager, or other senior roles in the HR team, and knowledge around all legal requirements in this role.

Established as a national charitable foundation that would coordinate with Canadian organizations that have projects in Ukraine, as well as other projects in Canada, CUF has delivered and supported projects and programs including, but not limited to, the areas of healthcare, education and civil society.

CUF is looking for someone with energy, enthusiasm, and experience for a HR specialist to develop and implement our HR stragegy as we expand our administrative staff. The HR specialist position is based in Toronto and reports to the CUF Executive Committee, specifically CUF’s Chief Executive Officer.

HR Specialist will refine and develop the HR framework of the Foundation. Including the following:

  • Recruiting, training, counseling, and coaching staff.
  • Developing a smooth onboarding process.
  • Creating key performance indicators and other metrics for tracking delivery, timeliness, success, and outcomes (ROI) of programs, projects and relevant workstreams
  • Developing guidelines for performance and wage reviews.
  • Resolving conflicts through positive and professional mediation.
  • Developing clear policies and ensuring policy awareness.
  • Ensuring legal compliance with labour practices.
  • Maintaining and reporting on workplace health and safety compliance.
  • Developing workplace investigations, disciplinary, and termination procedures.
  • Maintaining employee and workplace privacy.
  • Collating all of the above in a HR procedures manual.

HR Specialist Requirements:

  • Bachelor’s degree in human resources management or equivalent.
  • Experience in human resources or related field.
  • Experience in educating and coaching staff.
  • Experience in conflict resolution, disciplinary processes, and workplace investigations.
  • Experience in following and maintaining workplace privacy.
  • Knowledge of relevant labour, health and safety laws.
  • Experience using computers for a varity of tasks.
  • Competency in Microsoft applications including Word, Excel, and Outlook.

Administrative Assistant

Canada-Ukraine Foundation (CUF) is looking for two part-time Administrative Assistants. The incumbents will work out of the CUF head office located at 620 Spadina Ave., Toronto, ON. The length of the term will be for a period of six months for up to 30 hours per week starting asap.

CUF was formed to coordinate, develop, organize and deliver assistance projects generated by Canadians and directed to Ukraine. Established as a national charitable foundation that would coordinate with Canadian organizations that have projects in Ukraine, as well as other projects in Canada, CUF has delivered and supported projects and programs including, but not limited to, the areas of healthcare, education and civil society.

CUF is looking for someone with energy, flexibility, and experience who is detail oriented to assist with the daily operations of the CUF office. The Administrative Assistants will report to the Executive Coordinator and/or the Communications Coordinator.

Duties:

  • Data entry
  • Respond to inquiries
  • Assist with fundraising events
  • Clerical duties

Qualifications

  • Skilled use of digital technology especially with databases
  • Previous experience working in the charitable sector would be an asset
  • Excellent communication, customer service and organizational skills
  • Fluency in English and proficiency in Ukrainian
